General Administrator

The DPC Administrator is responsible for the coordination of all administrative functions of the organization and for the management and coordination of logistics support for creative productions and artistic projects. We need an exemplary Administrator with a collaborative, creative mentality, who is very trustworthy, punctual, loyal, efficient, effective and reliable. The ideal candidate must possess proven administrative and organizational skills to manage a small office and a wide variety of arts-related tasks in a fast paced, high pressure, deadline oriented environment. You must have superb interpersonal skills and the ability to relate on an artistic level with the organization’s members to enable creative production. The ideal candidate pays attention to detail, has a positive attitude and a strong code of ethics.
Main Responsibilities:

• Regular Grant Applications & Deadlines for multiple granting agencies.
• Reports to funders that include both narrative and financial components.
• DPC Financial account management. deposit cheques to account. (Cheques to be made up and printed using Simply Accounting program) Monthly, bi-monthly, annual, bill payments. Maintain financial records on Simply Accounting. Monthly bank reconciliation. Manage petty cash fund for purchases.
• Prepare global budget for Board approval at the start of fiscal year (fiscal year begins July 1st, ends June 30th). Prepare budgets for reading series, dubpoetry festivals and miscellaneous projects. Prepare financial reports for board meetings. Balance accounts, prepare year end reports and documents for Year End Financial Statement to present to chartered accountant, and Board.
• Logistics Support for Creative Productions and Artistic Projects:

Work with artistic director and/or event coordinators to write proposals for grants. Track grant results and advise Board. Prepare budget for Board approval as required. Work with artistic director and/or event/project coordinators for festival, reading series and other projects to help develop, assist planning and support presentation (adhere to timelines).
• Update website to promote DPC events
• Maintain profiles of DPC members

Qualifications:

• Related professional certification or a combination of relevant post-secondary education and proven track record.
• 2-5 years’ relevant experience preferably in a not-for-profit organization.
• Solid computer-skills and general knowledge of software programs.
• Demonstrated professional and confidential work ethic.
• Demonstrated comfort level working in a high pressure environment.
• Ability to work flexible hours.
• Ability as a writer is a major asset.
• Experience in artistic resources management is also an asset.
