Receptionist and Membership Secretary
Position Summary:
The Receptionist and Membership Secretary acts as an ambassador for the Club and is responsible for facilitating the day-to-day operations of the reception desk and Membership office of the Club in a professional and positive manner. It is essential that the incumbent be courteous, cooperative, friendly but professional, discreet and smile when greeting Members, guests and staff. The incumbent is expected to handle stressful situations and extremely busy periods in a professional manner – remaining calm and in control, listening carefully to instructions and communicating clearly to Members, guests and staff. The incumbent must also adhere to the confidential nature of the work involved in Membership and Marketing and Human Resources.
This position includes both reception duties and administrative support to the office of the Membership & Marketing Manager.
Duties & Responsibilities:
Job Specifications and Minimum Qualifications Required
• University or College Degree in a related discipline preferably in the field of hospitality.
Highly Computer Literate – fully proficient in Microsoft office (Word, Excel, Power point), email and internet. Illustrator, Photoshop and adobe acrobat are an asset.
• Minimum 2 years of related administrative experience preferably in a hospitality or related environment (golf and country club experience preferred)
• Minimum typing speed - 45 words per minute and possess mathematical skills.
• Excellent verbal and written communication skills in fluent English; ability to draft correspondence and reports with a high level of accuracy
• Experience with multi-line telephone system (an asset)
• Capable of learning and working with the Membership database. Knowledge of Jonas is an asset.
• Strong interpersonal skills and good understanding of the importance of Member service and able to communicate effectively with members, staff and suppliers.
• Team player with a willingness and ability to learn; highly motivated, reliable with good judgment.
• Positive, flexible and outgoing disposition is essential.
• Professional, discreet, confidential with an impeccable grooming and appearance.
• Core Work Schedule: – Monday to Friday (9:00 to 5:00 p.m.) subject to operational requirements; flexible to work after hours and/or weekends for major Club events.
• This is a full-time permanent position with benefits.
